Option 1: Conversation Window
By clicking the icons in the top right of the conversation window, you can prompt a video / voice call with the current members of the conversation on the fly. Additionally, the “Add Participants” icon in the far right will allow you to add internal users to any conversation at will.
Option 2: Live Meetings
On the left-hand side of the screen, navigate to the “Calendar” tab. From here, you should see a “Meet now” and “New Meeting” dropdown option. Meet now will act just as if you’re creating an internal call, only allowing you to invite internal participants.
To invite external participants, you MUST create a new meeting and invite them. By creating a new meeting, you will be prompted to set a subject title, time, date, and any further details to establish a meeting (just as you would within Outlook). Though here in the invitee’s bar, you can input the alias of an external user and they will receive an invite to “Join Microsoft Teams” meeting. Once they click the invitational link, they will be brought into the Teams conversation and prompted to make a guest username (if they have not already joined a conversation / do not have a Teams account.)
Additional Features:
Within meetings and group calls, there are additional features that each user can utilize to enhance their call experience. These features are located on the navigation bar in the center of your screen during the call. While both options offer similar features, there are also slight differences between the meeting and group call functions (shown below.) For example; Both types of calling allow for users to show various background effects, record the video, or enter full screen.
Meeting / Group View:
The two specific settings reserved for meetings only are “Show meeting notes” and “Turn on live captions.” Meeting notes allow the user to take virtual notes within the call, as if they had a notebook at their side.
Personal view:
Call holding, transfer, or consult then transfer, are all reserved for person-to-person calls – allowing users to interact with the Teams call as they would a natural phone call.
